Dispatch Overview

The dispatch board (Service > Dispatch) lists out all open and recently completed work orders and displays them in a kanban board format. In order to view the Work Orders click on the “Load Work Orders” button on the right side of the screen. This quickly gives the back office visibility into where work orders stand and where technicians are at. 

Columns

As the work orders progress, the cards will move from the left side of the screen to the right. The dispatch board is broken down into 4 different columns: new, open, working, and complete. The column totals will appear at the top of the column and will change depending on the applied filter. 

  • New - Work orders that do not yet have a technician assigned to them will be in this column. To assign a technician, a web user can simply drag and drop the work order into the open column and they will be prompted to assign a technician.
  • Open - Work orders that have been assigned a technician or multiple technicians, but no travel or labor has been applied to the work order. When multiple technicians are assigned, if at least 1 has not applied travel or labor, then this work order will be in the open column. 
  • Working - Work orders with travel and/or labor applied, but have not yet been completed.
  • Complete - Work orders that have been completed within the last 24 hours. 

Additional Options

At the top, right corner there are several options to help you manage and organize the dashboard the way you want to view it (this is per login, don't worry you aren't changing other's HQ layout).

Technician Tags 

In the individual work order cards, the assigned technician’s initials show in the top right side of the work order in a “tag”. When the technician is in different stages of activity on the work order, this tag will turn different colors to represent this. The color key is shown below. TIP: The technician tags are also used to view the current status of the technician, transfer work orders to different technicians, and/or send messages to the technician’s tablet. 


Dispatched (PURPLE) - Work Order has not been viewed.

Open (LIGHT GRAY) - Work Order has been viewed or the notification has been viewed but no labor and/or travel has been applied.

Paused (RED) - Not currently working, but labor and/or travel has been applied.

Traveling (LIGHT GREEN) - Actively traveling to or from the customer's location.

Working (DARK GREEN) -Actively working on; applying Labor.

Technician Review (ORANGE) - Done working, but reviewing work before getting customer's signature.

Customer Review (BLUE) - Ready to get customer's signature.

Work Complete (BLACK) - Signed by Customer.

Multiple Technicians - Multiple technicians assigned to the work order, the '*' represents the Primary Tech. NOTE: The Primary Technician is the only one who can complete the Customer Review.

“Stop light” Menu

The stop light menu is the 3 dots that appear in the top right hand corner of the work order cards. If the work order is still open, the user can add a resource or delete a work order. If the work order is complete, the user can use the stop light menu to download the completed work order PDF or rebuild/download the PDF.
