Reconciling TM Work Orders in Softbase
Whenever a technician creates a new work order within the Service app, that work order will need to be reconciled with Softbase in order for all the information to be synced and sent back to Softbase.
Steps to Reconcile
- From the Softbase General menu go to Invoicing.
- Create a new work order with the same customer, equipment, and description (if applicable).
- On the right hand side of the screen, enter the TM work order number into the Writer field.
- Dispatch the work order to the technician that created the work order.
- On the next Tinnacity agent run (approximately every 5 minutes), the work order will be automatically synced/reconciled.
- On the Softbase Dispatched tab, the Status column will show TM-RECONCILED.
- In HQ, the work order will now show the Softbase work order number instead of the TM work order number. NOTE: The original work order number can still be found in the Status card of a work order details screen.
Important: If any requests (quotes, parts, equipment) were received PRIOR to a work order creation in the client business system, the back office will have to manually notify other personnel of the new work order number in which to apply the request (i.e., parts request in which the parts department received notification for a TM # and need to now apply to a business system work order number).
Work Order Created Notification
In order to receive an email notification when a technician creates a new work order (like the one below), you must subscribe to the notification.
