Productivity Dashboard Overview

Productivity Buckets allow you to categorize technician labor hours into custom-defined "buckets" for better tracking and reporting. You can create specific bucket names—such as Contract Maintenance, Vendor Warranty, Internal, etc. —and assign them to different work order types. As time is recorded against those work orders, the system automatically routes the time into the appropriate bucket, helping you measure productivity, analyze time allocation, and identify trends across your workforce.


In addition, you can set custom threshold percentages for the Productivity dashboard to determine the "red" threshold and "yellow" threshold.


If the productivity bucket has 'Include as Productive Time' enabled, the time tracked under this bucket is included in utilization and productivity summaries. Time logged against any work order type assigned to the relevant bucket will then be factored into the calculations.


The Productivity Dashboard includes filters for Date Rage, Branch, User Group and Person to allow you to filter for specific data within the available widgets, which include:

  • Productivity By Branch
  • Productivity Trend
  • Productive Percentage - Top 5 People
  • Productive Percentage - Bottom 5 People
  • Total Hours by Productivity Buckets
    • Productivity Buckets include buckets in Admin>Productivity Buckets as well as Standby, Holiday, Travel Home, Sick and Vacation.


Productivity Settings

A person with an 'Account Owner' role can set custom threshold percentages for the Productivity dashboard in Company Settings>Productivity Settings. If the productivity percentage is below the red threshold, it will show red. If it is between the red and yellow threshold, it will show yellow. If it is above the yellow threshold, it will show green.


To set the productivity threshold percentages, follow the below steps:

  1. Click your name at the top, right corner then select Company Settings.
  2. From the left panel, select Productivity Settings. Enter the Yellow and Red threshold percentages, then click [Save].



Creating Productivity Buckets

Users with an Admin role can create Productivity Buckets, which must be set up before they can be assigned to work order types. Once productivity buckets are created, the next step is to assign the appropriate work order type(s) to each bucket.


To create a new Productivity Bucket, follow the steps below:

  1. In HQ, go to Admin>Productivity Buckets, then click the '+' sign to create. TIP: To edit, click the relevant bucket name, then click [Edit].
  2. Enter the bucket's name and description (optional), then click [Save]. NOTE: To ensure the time tracked in this bucket is included in utilization and productivity summaries, enable 'Include as Productive Time'. Time logged against any work order type assigned to this bucket will then be factored into the calculations.


Define a Work Order Type's Productivity Bucket

Users with the Account Owner role can assign a productivity bucket to each work order type. For a productivity bucket to capture data, it must be linked to at least one work order type. Once assigned, any time recorded against work orders of that type will automatically be tracked under the designated productivity bucket, enabling more accurate time analysis and reporting.


To assign a productivity bucket to a work order type, follow the below steps:

  1. In HQ, go to Admin>Work Order Types, then locate and select the relevant work order type.
  2. Click [Edit], assign the appropriate Productivity Bucket, then click [Save].
