This workflow outlines how Tinnacity’s HQ instances integrate with your business systems, ensuring data flows correctly between your office operations and field service.


Tinnacity HQ Integration & Sync Workflow


Instance Architecture

Tinnacity provides two distinct environments to ensure data integrity and allow for testing:

  • LIVE Instance: Fully integrated with your Production business system database. This is your active "real-world" environment.
  • SANDBOX Instance: Integrated with your Test  business system database.
  • Crucial Distinction: These environments are unique. Changes made in the Live do not reflect in Sandbox, and data will differ based on the respective business system databases.

The Tinnacity Integration Agent

The bridge between your database and Tinnacity is our Integration Agent. This agent manages the flow of information through two types of scheduled "Jobs." It is important to remember that Dysel is always the source of truth for all data. 


Scheduled Daily Sync Jobs

These jobs run once a day (typically during off-hours) to ensure your master data is aligned.

  • Master Data Sync: Refreshes the following records:
    • Customers (Bill Tos) & Locations (Ship Tos)
      • QuickBooks only syncs Customers.
    • Makes, Models, & Equipment
      • QuickBooks excluded
    • Part Locations (e.g., Service Vans) & Parts Inventory
  • Work Order Hours Sync: Syncs all labor and travel hours applied the previous day for any open work orders.
    • QuickBooks excluded

NOTE: To ensure service isn't delayed, Tinnacity supports real-time data generation. If a work order involves a new customer, location, or piece of equipment created after the daily sync, Tinnacity will automatically verify the details during the work order sync. If the records do not yet exist in HQ, the system will create them instantly to complete the sync.


"Always Running" Real-Time Jobs

These jobs run continuously to ensure technicians and office staff have the most up-to-date information.

  • Work Order Dispatch & Update:
    • Constantly monitor for new work orders created in your business system.
    • Picks up updates to existing orders (e.g., description changes or parts added by the office).
      • If any integration errors, fix the problem and update the Document Status.
  • Work Order Complete:
    • Constantly monitors for work orders finalized by a technician.
    • Syncs Back to Business System: Labor/travel hours, work performed notes, and parts used.
      • Note: You opted to combine labor and travel hours as LABOR.
