What is User Utilization?

User Utilization reporting tells you how well your company is utilizing its people. There are many metrics captured for an individual person each day and User Utilization shows you a daily total of all these metrics. Easily filter by start & end date, person, user group, flag rule & has been reviewed to see how your people are doing. To view this, navigate HQ>Reporting>User Utilization. TIP: Enabling the various filter options available will help you narrow down on the data you want to view.

Using the filter: Person, for example, you can easily audit how an individual's time is being utilized. Select the 3 dots adjacent to the segment you wish to view a time card on and select View Individual Time Card. This will allow you to quickly drill into the Individual Time Card for that segment date listed. TIP: You can also download the table into a CSV file for any additional use you'd like to perform with the data provided.

What do all of the columns mean?

There are a lot of columns available on this table. This gives you the ability to identify specific information you are looking for depending on the use case. Here's a brief description of some of the columns you can enable:

  • Person - the full name of the user
  • Employee ID - the employee identification number that was set up for this user
  • Date - the date that the data is being summarized for
  • Labor Time - total clock time minus any give time. Generally considered being the person's "paid time".
  • Billed Hours - the total amount of customer hours and internal hours
  • Gain Hours - the amount of time that the person gained for the data. This is one of the most important metrics we capture. Calculated as Paid Hour - Billed Hours = Gain Hours.
  • Customer Hours - the sum of customer labor hours and customer travel hours
  • Customer Labor Hours - the billed labor hours applied to customer work orders. This value is after rates settings are applied (rounding, minimum hours, maximum hours, and flat-rate)
  • Customer Labor Actual Hours - actual labor hours applied based on the time card to customer work orders.
  • Customer Labor Adjusted Hours - if the technician or a web user adjusted the labor record, this number would be different than the actual
  • Customer Travel Hours - the billed travel hours applied to customer work orders. This value is after rates settings are applied (rounding, minimum hours, maximum hours, and flat-rate)
  • Customer Travel Actual Hours - actual travel hours applied based on the time card to customer work orders.
  • Customer Travel Adjusted Hours - if the technician or a web user adjusted the travel record, this number would be different than the actual
  • Administrative Billed Hours - the billed labor hours applied to administrative work orders. This value is after rates settings are applied (rounding, minimum hours, maximum hours, and flat-rate)
  • Administrative Labor Actual Hours - actual labor hours applied based on the time card to administrative work orders.
  • Administrative Travel Billed - the billed travel hours applied to administrative work orders. This value is after rates settings are applied (rounding, minimum hours, maximum hours, and flat-rate)
  • Administrative Travel Actual Hours - actual travel hours applied based on the time card to administrative work orders.
  • Clock Time - the total amount of time the person is clocked in
  • Travel Time - total travel time, including commute
  • Work Time - total work time
  • Standby Time - includes the time from Standby and Clocked In
  • Commute Time - the actual commute time
  • Commute Start of Day - portion of the actual commute that was at the start of the day. Any travel that was before the first work of the day is considered, not including Travel Home.
  • Commute End of Day - portion of the actual commute that was at the end of the day. Any travel at the end of the day before the clock out OR marked as Travel Home is considered.
  • Commute Give Time - the amount of time that the person has to give (unpaid usually) to the company for their commute. 
  • After Hours - the total amount of time the person is clocked in as "After Hours".
