What are Quote Requests?

How do I efficiently update the statuses and assignments of multiple requests simultaneously?

Overview

Quote approvals can be a tedious process and an on-going challenge to track a quote from request to approved. The Quote Request status has multiple statuses that you can choose, to better help you track your quote status. By default, the quote request is automatically put into 'Pending' status. TIP:  To add the 'Status' filter, click the Filters icon at the top, right corner and select 'Status'.  To add the Status column to the data table, click the manage columns icon at the top, right corner and select 'Status'.

To update the quote status, click the Quote ID. TIP:  The Quote ID column can be added to the table by clicking the 'Manage Columns' icon at the top, right corner and select ID. You can rearrange the columns by clicking the 'Drag and Drop to reorder columns' icon. Adding the Status to the filters and table, allows you to filter the table for a specific status.

There are several statuses that you can use to help track the status of the respective quote request. To access these within a Quote, click the pencil icon within the Status card, to the right of Request Status and select from one of the dropdown menu status options. NOTE: If 'Approved' status is selected, you have the flexibility to specify the approver within HQ. This can include Users, Location Contacts, or Customers.

TIP: When setting the quote to Customer Approval Needed, we are now prompting users to enter in a days valid & approval requested date. Tinnacity will automatically set the quote to "Expired" if the days valid date has expired. The default days valid can be set by an Account Owner role within HQ>Company Settings>Quotes

After the quote is in 'Approved' status, the Approved by field will automatically populate with the logged in user account that approved the quote and the 'Approved Date' will auto populate with the current date that the quote was approved. Also, you will then have the option to create a work order using the [Create Work Order] button or to link a work order using the [Link Word Order].  NOTE:  If you are integrated with a business system, you should create the work order in your business system. TIP: Once you link a work order the status automatically goes to Complete once all work orders linked with the Quote are completed. Changing/Updating the Assigned To & Status of a Quote Request

To update the status of a request or change the assigned to, there are a couple ways to do this: from the main request screen, within the details of a request OR by Mass Update

  1. Main Request Screen: Within the Quote Request Main Screen, with columns Assigned To & Status enabled, hover over the Assigned To or Status and update by clicking on either/or to change the Assigned To or update the Status of a request.

  1. Within the Request Details: click the ID Number or click the three vertical dots and select Details.

Next, click the pencil icon next to Status and/or Assigned To, select the respective status/name and then click [Save].

IMPORTANT: If using the customer portal, it is important to keep these updated so that your customers know the status of their requests.

Mass Update Status and Assigned User

Using the 'Select Multiple Rows' feature, you have the ability to efficiently update the statuses and assignments of multiple requests simultaneously.

  1. While in the respective request type, use the respective filters to filter out the requests you wish to update the assigned to or the status (i.e., start and end dates, status of 'Pending', etc.).


  2. Click the 'Select multiple rows' icon at the top, right corner and then select the respective entries to update. TIP: Click the checkbox next to ID to select all on the current page. To update 100 at a time, change the number per page.


  3. Depending on the update you wish to do, click Update Status or ChangeAssigned To.


  4. Depending on the update option chose, either select the respective Status or the Assigned To name and click [Save].
