Customer Portal Quotes

In Customer Portal>Service>Quotes: your customer can view & manage quote requests that have been:

  • Submitted during the Customer Review process of a Work Order
  • Created & submitted by the customer within the Customer Portal or
  • Created within HQ & set to visible for your customer to view.

Additionally, within this screen, your customer can request a new quote (click the + sign).  NOTE: Like that of HQ, there are icons throughout the portal that allow users to enable/disable filters, to export the data in the table to a .csv file, and to hide/unhide and arrange the columns in the table and to request a quote (+ sign).

For the customer, to view quote request details & manage them:

  • Click the respective Quote ID or click the three vertical dots, then click Details.

  • Within the details screen of a Quote Request, the customer can:
    • View the details of the request (i.e. quote description, attachments if applicable, etc.)
      • Upload or download attachments
    • Approve/Deny or Cancel the quote request
      • You must give permission to your customer in HQ in order for them to be able to allow quote approval requests. Click here to learn more.
    • In the Status Card:
      • View current status of the request & some additional details
    • Converse with you by sending/responding to comments


To Approve or Deny a Quote Request:

  1. Click on the Approve/Deny button in the top right of the details screen

  1. The Review Quote card will display
    1. Select Deny or Approve on the bottom right

NOTE: A PO Number can be added in this screen but is not required


Viewing/Managing Quote Requests in HQ

For you, the Dealer, in HQ>Service>Quotes: you are able to view the details of the request (i.e. quote description, attachments if applicable, etc.), and send a comment to your customer (i.e. A customer may comment asking for the status of this request and you can comment back with an update). You would then use this request to create the respective quote.

In HQ, the Quote Requests screen provides information relating to the status of the request. It is important to keep these updated so that your team & your customers know the status of the request.

A Few Tips:

  • At the top of the screen are 4 common Status options: Pending, In Process, Customer Approval Needed & Approved. Clicking on any of these will display all Quote Requests that are currently in the respective status.
  • Enable and utilize Filters like: Status, Created By Customer, Created By to help narrow your search
  • Enable Columns like: Assigned To, Status, Created By to help organize the information
  • Any Name with a green star next to it indicates this request was created by one of your customers via the Customer Portal. No green star means a technician or HQ user created the request.
  • Once you generate the Quote, you can attach it to the Quote Request & send a comment to your customer that it is an attachment in the request which they can review before approving or denying.
