Time Card Comments-HQ

HQ users and technicians can add comments to time card entries. For example, a technician is reviewing their time card for the day and they have a time entry they can not account for or transfer themselves, they can leave a comment for the Back Office explaining the reason. HQ users can view comments, add comments, edit time card entries based on comments, resolve comments or delete time card comments that are found within an individual time card from the Time Card Comments screen.

Time Card Comments Screen

  1. Navigate HQ>Time Cards>Time Card Comments.

2. Within the Time Card Comments screen, locate the time card comment utilizing the various Filter options available. i.e. Start/End Dates, Time Card Person, Status of the Time Card entry, Reason, User Group, Role, etc. Once located, select the 3 dots to the right of the entry and choose from 3 options: Details, Resolve or View Individual Time Card. TIP: Click on the Filter icon in the top right of the screen to select the filters you would like to utilize. Click on the Column icon in the top right of the screen to enable Comment, Status or any other columns available that you'd like to utilize.

  1. Details: will take the HQ user to the details screen of the time card comment. Within the details screen you can see the details & any comment(s) the technician or other HQ user provided. You can add comments, edit the time card entry itself from this screen by clicking on the Edit button, Resolve the comment or Delete the entry by selecting the 3 dots in the top right corner. TIP: Click on the View Individual Time Card button in the top right of the Details screen to view the specific time card this comment belongs to & make any adjustments necessary to the time card.

  1. Resolve: a comment can be resolved directly from the Time Card Comments screen. A pop up will display to enter optional comments on the resolution taken for the time card comment, once entered, click Resolve. If a comment for resolution has been added, it can be referred to within the details screen of the time card comment. NOTE: This does not automatically transfer any time on a work order. This is simply for keeping track of a time card comment: if it has been resolved & how it has been resolved. To reallocate any time, mentioned in the comment, to a work order, go to the related individual time card and adjust there. Click here to learn more on how to modify, transfer or delete an individual time card. TIP: By default, the time card comments screen does not show resolved comments. Enable the filter: Resolved and select Yes/No to help narrow down which comments have and have not been resolved.

NOTE: When a time card comment has been resolved, the comment bubble located in the corresponding individual time card will be Blue. If a comment has not been resolved, the comment bubble will be Yellow.


  1. View Individual Time Card: This will take the user to the corresponding time card that the comment was made on. From here an HQ user can view any time card comment entered and make any changes to the time card, if needed. Remember: you can view the individual time card from the details screen of the comment as well. Click here to learn more on how to modify, transfer or delete an individual time card.
    1. To view a comment from the Individual Time Card screen, select the comment bubble icon to the right of the time card entry, which will then take the HQ user to the details of the comment where they can add comments, resolve the comment, edit or delete as mentioned above. NOTE: If the comment bubble is Black (light mode) or White (dark mode) no comment has been added for the entry. If the comment bubble is Blue: it has been resolved. If the comment bubble is Yellow: the comment has NOT been resolved.
